Role Overview
As a receptionist, you will be responsible for:
- Organizing the correspondence inbox and handling relevant records.
- Referring letters, reports, and other correspondence to individuals, departments, and relevant companies in the IFS system.
- Maintaining and archiving all files, papers, letters, reports, and other necessary documents and records in the IFS system.
- Drafting some outgoing administrative letters.
- Managing and appropriately maintaining the company’s official documents, classified and confidential documents.
- Planning and coordinating meetings and appointments.
- Responding to phone calls, emails, and in-person inquiries.
- Coordinating with the support unit to carry out office tasks (ticketing, meeting arrangements, etc.).
- Handling colleagues’ requests, guiding them, referring them to the relevant authority, and following up on assigned tasks with departments.
